This Privacy Policy explains how Big Belly Studio LLC (“Better Planner,” “we,” “us,” or “our”) handles personal information across the Better Planner iOS app, the vendor portal, the public RSVP pages, this website, and our related services (together, the “Service”). Big Belly Studio LLC is a Florida, USA limited liability company.
Who this policy covers
The Service has a few different kinds of users, and we collect different information from each:
- Couples who plan their wedding in the iOS app.
- Wedding vendors who create a business profile in the vendor portal.
- Wedding guests who respond to an invitation on a public RSVP page.
- Visitors to this marketing website.
Information we collect
Account and identity
When you create an account, our authentication provider (Firebase Authentication, by Google) processes your email address and password, or your Apple or Google sign-in. We store your account identifier, email, sign-in method, and (where you provide it) a display name. We never use your email as your internal identifier.
Wedding planning information (couples)
During onboarding and as you plan, you may provide:
- Partner names, wedding date, city/location, estimated budget, guest-count estimate, and wedding style or traditions you choose to declare.
- Your checklist, task notes, due dates, and messages you send to the in-app assistant.
- Photos you upload for your cover photo, gallery, and moodboard inspiration.
Guest and RSVP information
If a couple invites you to RSVP, we process the information submitted through the RSVP page: name, and optionally email, phone, attendance response, meal choice, and any named plus-ones. If email verification is enabled, we send a one-time code to confirm the address. Couples are responsible for the guest information they add about the people they invite.
Vendor profile information (vendors)
Vendors provide business details: company name, contact name, categories, price bands, business address (and its map coordinates), service area, description, business contact methods (email, phone, website, social handles), service packages and pricing, and profile/gallery images. You control whether your precise address is shown publicly.
Vendor inquiries and leads
When a couple contacts a vendor through our concierge/inquiry feature, we collect the details in that inquiry — name, email and/or phone, wedding details (date, location, budget band, guest count), the package they're interested in, and their message — and deliver it to that vendor so they can respond. See “When we share information” below.
Usage information
To operate our AI features fairly, we keep a record of AI usage (which feature was used, when, and the amount of processing consumed) tied to your account. We use only the strictly necessary browser storage and app storage needed to keep you signed in and to run core features — see “Cookies” below.
How we use your information
- To provide, maintain, and improve the Service and its features.
- To generate the personalized planning content, suggestions, and moodboards you request.
- To deliver RSVP confirmations, vendor-inquiry notifications, and other service messages.
- To connect couples with vendors they choose to contact.
- To secure the Service, prevent abuse, enforce our Terms, and comply with law.
We send transactional emails (for example, RSVP confirmations, one-time codes, and vendor-lead notifications) as part of operating the Service. We do not run marketing email campaigns today; if we ever do, they will be opt-out.
AI features and your data
Some features use third-party AI providers. When you use them, we send only what's needed to produce the result:
- Anthropic (Claude) powers the planning assistant, checklist personalization, timeline advice, onboarding tips, and moodboard image analysis. We send planning attributes (such as style, guest count, location, declared traditions, and budget), your checklist text, your assistant messages, and descriptions derived from your moodboard images. We do not send your partner names, email address, or phone number to the AI provider.
- Google (Vertex AI / Imagen) generates moodboard hero images from the aesthetic description produced by the analysis step, not from your personal contact details.
These providers process your inputs to deliver the feature you asked for. Your inputs are not used to train their models. AI output is for planning assistance and inspiration only and may be inaccurate.
When we share information
We do not sell your personal information, and we do not share it with third parties for their own advertising or marketing. We share information only:
- With a vendor you choose to contact. When you submit an inquiry to a vendor, we share the information in that inquiry with that vendor so they can respond. Once a vendor receives an inquiry, they hold their copy of it.
- With service providers that operate the Service on our behalf, strictly to provide it (listed below).
- For legal reasons — to comply with law, respond to lawful requests, or protect the rights, safety, and security of our users, the public, or Better Planner.
- In a business transfer — if we're involved in a merger, acquisition, or sale of assets, subject to this policy.
Service providers (subprocessors)
- Google Firebase — account authentication and identity.
- MongoDB Atlas — database hosting for your profile and content.
- Amazon Web Services (AWS) — application hosting, image storage (S3), email delivery (SES), and push notifications (SNS).
- Apple Push Notification service — delivering notifications to your iOS device.
- Anthropic — AI text and image analysis (see “AI features” above).
- Google (Vertex AI / Imagen, and Maps/Places) — AI image generation and vendor address lookup.
Cookies and similar technologies
We use only strictly necessary browser and app storage — primarily to keep you signed in and to run core features. We do not use advertising cookies, cross-site trackers, or third-party analytics, so no cookie-consent banner is required. If we introduce privacy-respecting analytics in the future, we'll update this policy first.
Data retention
We keep your information while your account is active. When you delete your account, we promptly remove your profile, wedding data, guests, vendor data, and uploaded images from our live systems; residual copies in routine backups are purged within about 30 days. Two honest exceptions: information you already sent to a vendor stays with that vendor, and we may retain limited records where required by law. AI usage records are kept in minimal form for quota and abuse-prevention purposes.
Your rights and choices
Wherever you live, you can:
- Access the personal information we hold about you.
- Correct inaccurate information (much of it is directly editable in the app).
- Delete your account and associated data.
- Export a copy of your information.

If you are in California, you may have additional rights under the CCPA; if you are in the EEA or UK, you may have additional rights under the GDPR. Contact us and we'll help you exercise them. We'll expand our formal compliance processes as we grow.
Children's privacy
You must be 18 or older to create an account. The Service is not directed to children under 13, and we do not knowingly collect personal information directly from children under 13. Guest information that a couple adds about the people they invite is the couple's responsibility.
Security
We use reputable providers and reasonable safeguards to protect your information, including encrypted connections and access controls. No method of transmission or storage is perfectly secure, so we can't guarantee absolute security.
Where your information is processed
Better Planner is operated from the United States, and our providers may process and store information in the United States and other countries. By using the Service, you understand your information may be processed in the United States.
Changes to this policy
We may update this policy from time to time. The “Last updated” date above reflects the current version, and we'll give reasonable notice of material changes (by email or in-app notice). Continued use of the Service after a change means you accept the updated policy.
